Recording of Teaching Policy Pilot AY24/25- FAQs

The University is introducing a Recording of Teaching policy to guide the use of video-enhanced learning at Queen’s. We’re excited to launch a pilot to test the draft policy during AY24/25, and we invite staff from across the three Faculties to participate. Whether you’re recording live lectures, creating pre-recorded content for Canvas, or exploring Panopto for the first time, we’d love to hear from you!

Here is a list of frequently asked questions. If you have any additional questions, email ced@qub.ac.uk

The purpose of the pilot is to use the upcoming academic year as an opportunity to test the effectiveness of the draft Recording of Teaching policy. This will allow us to gather feedback and make meaningful enhancements, ensuring that the final policy meets the diverse needs of our staff and student body.

All teaching and teaching-related staff are welcome to participate, including lecturers, visiting lecturers, Module Coordinators, and administrative support staff within Schools.
Students enrolled in participating modules may also be asked to provide feedback on their experiences. Student feedback will focus on the student-related content in the policy, not on individual lecturers, and the collection of student feedback will be managed entirely by the project team, creating no additional burden on teaching staff.

Participants will be asked to record their teaching in the way that works best for them—whether that’s recording live lectures or creating pre-recorded content for Canvas—and refer to the draft policy as they do so.
Throughout the semester, the project team will reach out to gather insights, focusing on what worked well, any gaps, or potential issues. This feedback will enable us to make meaningful improvements to the policy.

Participants will have the opportunity to test one or more of the following approaches:

  • Automatic recording of lectures using Panopto: This approach offers a no-touch experience in fully equipped, timetabled rooms on campus. The recording begins and ends automatically with the lecture, though you can pause the recording if needed. Recordings will be automatically uploaded to Canvas within 24 hours, allowing for time to make edits if required. This option is available only on the in-room PC setup on campus; personal laptops cannot be used for automatic recording.
  • Manual lecture recording using Panopto or another platform: For those who prefer more control, manual recording will be available in all centrally bookable teaching spaces on campus. You can choose to use Panopto or another platform to manually record your lectures.
  • Pre-recorded content using Panopto or another platform: If you prefer not to record live lectures, you can still participate by creating pre-recorded content for students to watch asynchronously. This could include mini lectures, summary videos, or other instructional materials.

Yes, participants are welcome to modify their level of involvement in the pilot as needed. For example, it will be possible to reduce involvement to recording only one lecture etc. Just notify the project team about your preferred level of engagement, and we’ll accommodate your needs.

The time commitment will depend on your level of involvement in the pilot. For teaching staff, the total time required for feedback will be no more than 3 hours over the course of the semester. For students, the time commitment will be no more than 2 hours over the semester.

Information collected during the pilot will be managed in accordance with University Information Handling and Security policies and in compliance with our data protection duties. Access to personal data provided by staff and students will be restricted to authorised personnel only, and will be anonymised when analysed for reporting i.e. no individual will be identifiable in reported information.

Staff will have access to a variety of support resources, including synchronous training sessions, asynchronous guides, and ongoing technical support from a dedicated Panopto support team. An information session for participating staff will be held in October where more information about the pilot will be provided and you’ll have a chance to ask questions.

Students will be provided with guidance on how to access recorded content and effectively use lecture recordings.

The pilot will run throughout AY24/25. However, pilot participants have the flexibility to choose the duration of their involvement based on their schedules and other commitments.

The focus in semester 1 will be on evaluating the quality and ease of use of Panopto, our primary recording software.

A final report, summarising the results and any recommended changes to the policy, will be provided at the end of the pilot.

Simply complete this MS Form and a member of the project team will be in touch with you shortly to discuss the next steps.
