Completing the Academic Year in Canvas
Completing AY 2018/19 Modules
At the end of each Academic Year, courses in Canvas will become read-only. The below table outlines the dates courses are placed in a read-only state by default:
|Academic Year||Default Term Dates in Canvas|
|Start Date||End Date|
(Qsis ref: 2181)
|1 Sep 2018||30 Sep 2019|
(Qsis ref: 2191)
|1 Sep 2019||30 Sep 2020|
|2018 Nursing intake
(Qsis ref: 2185)
|29 Jan 2019||1 Mar 2020|
|2019 Nursing intake
(Qsis ref: 2195)
|1 Feb 2020||2 Mar 2021|
Read-only means that a course is not available for submitting assignments, posting discussions, uploading files, grading, or any other action-based task within a course.
Before the term end date above is reached, staff with the relevant access can choose to override these dates and keep courses open for longer if they are required to complete the below actions after the dates listed above:
- Mark/grade assignments or make amendments to these
- Add/amend course activities and settings
- Display the module in the current enrollments area in the dashboard
- Allow students to continue to participate in the course
Please see the following Instructure Guide for further information on how to change the start and end dates in a course: https://community.canvaslms.com/docs/DOC-12907-415257088
Note: Content imported into Canvas commons from live academic modules will no longer be editable once the module has been concluded. We recommend using the Module Development Area to import content to Commons and build and amend the module content for AY 2019/20.
Staff are advised not to select the ‘End this Course’ option in Canvas as this will remove all enrollments within the course and cannot be reversed.
If you have accidentally selected this option, please contact Canvas Tier 1 support immediately, using the help menu on the navigation bar in Canvas.
Rollover Content for AY 2019/20 Modules
Each Module has a dedicated Module Development Area (MDA) which can be used to prepare content ahead of teaching. We recommend that staff use Module Development Areas throughout the year as a safe development space without student enrollments to try out new features and further develop module content.
If your module was delivered in Canvas during AY 2018/19, you will already have module content and activities developed. In preparation for teaching in September 2019, consider whether you wish to import (rollover) any module content to reuse from the previous year’s site. This process will bring across pages, files and activities and will duplicate the structure and navigation of the previous site. A review of the content and resources is recommended ahead of rollover.
If the AY 2018/19 version of the module is the most up to date (rather than the content contained in the MDA), the simplest pathway is to import from AY 2018/19 version of the module into the AY 2019/20. Once you have imported the content into your ‘Ay 2019/20 module you will need to publish the course so students can view it.
To import materials from a previous year in Canvas, simply follow the steps in the following blog post which details the Import and Publishing process.
